About the Role

As a Retrieval Representative, you will communicate with healthcare providers via phone, email, and fax to confirm medical records requests. You will be responsible for tracking, following up, and ensuring timely receipt of records while maintaining ChartRequest’s quality and customer service standards.

Key Responsibilities

???? Records Retrieval & Communication

Conduct outbound calls to healthcare organizations in a performance-based environment
Communicate with custodians outside the organization via phone, email, and fax
Obtain status updates on record requests daily
Advise custodians on necessary actions for record retrieval

???? Tracking & Documentation

Keep detailed records of interactions, status updates, complaints, and resolutions
Monitor overdue requests and take appropriate action
Process medical record requests using proprietary web applications & ticketing systems
Organize follow-up schedules and escalate issues to supervisors when needed

???? Compliance & Quality Assurance

Ensure compliance with federal & state regulations (HIPAA, ROI standards, confidentiality, and pricing requirements)
Analyze issues, evaluate solutions, and implement resolutions
Maintain information security & staff training requirements

Required Qualifications

✅ Education & Experience

✔ Associate Degree (minimum)
✔ 2-4 years of experience in a fast-paced customer service environment (B2B preferred)
✔ Experience in medical records retrieval, healthcare, or ROI (preferred)
✔ Proven success in collections and/or customer service
